Free delivery note template (delivery order)

A delivery note goes with the goods and lists what was delivered against an order, so the receiver can check the goods and sign for them. It is not an invoice and usually shows no prices. In shipping, a delivery order also means the carrier's release for import cargo, which only the carrier or its agent can issue; this sheet is the supplier's delivery note.

Delivery note, invoice and packing list

The invoice asks for payment and states the prices; the packing list shows how the goods are packed, with weights and dimensions; the delivery note confirms what was handed over against an order and is signed by the receiver. For a delivery to a buyer, a warehouse or a forwarder, the signed delivery note is the record that the goods were received in the quantity shown.

Partial deliveries and outstanding quantities

When an order is delivered in parts, show the quantity ordered, the quantity in this delivery and what is still outstanding, and quote the same order number on each delivery note. The sheet works out the outstanding quantity, so the buyer and the supplier can match each delivery to the order and to the invoice.

Check the goods before you sign

The receiver should count the packages and look for visible damage before signing, and write any shortage or damage in the remarks, because a clean signature makes a later claim harder to prove. For loss or damage in international transport, also give the carrier written notice within the time limits; the cargo claim letter template covers that.

Common questions

What is a delivery note?

A document that goes with the goods and lists what was delivered against an order, with quantities and packages, and is signed by the receiver as a record of receipt. It usually shows no prices.

Is a delivery note the same as a delivery order?

Not always. In shipping, a delivery order usually means the release issued by the carrier or its agent that lets the consignee collect import cargo at the port or terminal, once the bill of lading has been surrendered or released and the charges are paid. This template is the supplier's delivery note.

Does a delivery note show prices?

Usually not. Prices belong on the invoice; the delivery note lists the items, quantities and packages, so it can travel with the goods to the receiver's warehouse.

What should the receiver check before signing?

That the number of packages matches the note, that no package is visibly damaged, opened or wet, and that the items match the order. Write any difference in the remarks before signing.

Can I use it for partial deliveries?

Yes. Enter the quantity ordered and the quantity delivered now; the sheet shows the outstanding balance, and each delivery gets its own note with the same order number.
